Jaktia is one of Sweden’s largest retail chains for hunting, fishing, dogs, and outdoor activities, with stores throughout the country from Sjöbo in the south to Kiruna in the north. The franchise-based chain is headquartered in Tollered and sells everything from hunting firearms and ammunition to outdoor and hunting clothing.

Every year, Jaktia organizes a conference where representatives from stores and suppliers across Sweden meet to discuss upcoming products and trends. Over the course of four intensive days, as many stores and suppliers as possible will have the opportunity to meet one another.
Creating a schedule that allows as many suppliers as possible to meet with as many stores as possible is a complex puzzle. Each supplier has a different number of representatives and meetings of varying lengths, and each store is available at different times. Putting the schedule together by hand took a lot of time and risked becoming disorganized.
We built an automated scheduler in Excel that takes into account each supplier’s circumstances—including the number of representatives they have and the amount of time they need per meeting—as well as each store’s available times. The suppliers are then assigned to the stores in turn, taking into account lunch breaks and the stores’ operating hours, so that no one receives preferential treatment.
The result is a clear, easy-to-follow master schedule for the entire conference, optimized to ensure that as many meetings as possible take place, all put together in just a few minutes. In addition, each store’s schedule is printed on a separate sheet so it can be easily distributed at the start of the conference. Everyone knows who they’re meeting and when.
