It was important to the municipality that their templates laid the foundation for accessible content. They also wanted their users to be able to access the templates easily. And that there should be functionality that simplified the use of the templates.

Hudiksvalls kommun hade ett behov av att modernisera sina Office-mallar. Deras befintliga mallar var komplexa, informationsspäckade och svåra att använda i praktiken. Samtidigt ville kommunen säkerställa att all dokumentation levde upp till kraven på tillgänglighet och följde den grafiska profilen.
Kommunen uttryckte en tydlig önskan: De behövde inte bara tillgänglighetsanpassade Word-mallar, utan också lösningar som gjorde det enkelt för alla medarbetare att hitta och använda mallarna i sitt dagliga arbete. Under projektets gång växte behovet – Excel- och PowerPoint-mallar, startmallar och funktionella mallknappar lades till som en del av uppdraget.
Rehngruppen byggde en helt ny mallstruktur från grunden. Startmallar öppnas nu automatiskt när användaren öppnar ett Office-program, och mallknapparna ger direkt åtkomst till kommunens hela mallbibliotek. Vi integrerade även personliga uppgifter så att användarnas information automatiskt placeras på rätt plats i dokumenten – oavsett roll, nämnd eller förvaltning. Dessutom skapades undermappar för olika logotypvarianter, så att rätt mall alltid är nära till hands.
Hudiksvalls kommun fick en komplett lösning med tillgänglighetsanpassade och användarvänliga mallar i Word, PowerPoint och Excel. Tack vare tydlig struktur, kvalitetssäkring enligt tillgänglighetskrav och smart funktionalitet kan även oerfarna användare nu skapa professionella dokument på ett enkelt sätt. Kommunen har fått en lösning som förenar estetik, funktion och tillgänglighet – och som gör det nästan omöjligt att göra fel.

Initially, the assignment included only accessible Word templates. However, during the project, the assignment was developed. Hudikvall Municipality also added Excel and PowerPoint templates, template buttons and starter templates.
The template buttons allow users to easily access all the municipality's templates directly from Office. The start templates are adapted for accessibility and are designed based on Hudikvall municipality's graphic profile. They open automatically when the user opens an Office program. This makes it almost impossible for the user to make mistakes! For the same reason, we also applied personal information, which means that the user's information automatically ends up in the right place in the templates.
By far the biggest challenge of the project was to develop the municipality's complex and information-packed templates to be accessible and easy to use. For example, the templates contained information fields for personal information that needed to be updated automatically, but where the user could have multiple roles in different committees and administrations. In addition, much of the information was in the header and footer of the templates, which is not acceptable under accessibility requirements. Another challenge was that the templates had different logos for different areas of the municipality.
Rehngruppen started from scratch. We produced functional templates with a clear structure that makes the templates user-friendly even for the most inexperienced users. All templates were quality assured according to accessibility requirements.
With the implementation of personalized data, the municipality's users' data is placed in the right place in the templates. Completely automatically - regardless of role, committee or administration!
Under the template button there are subfolders with the different logo variants. In this way, the user today has easy access to all templates directly in Office, regardless of which administration the user belongs to.
