The municipality of Sandviken undertook a major accessibility initiative. Part of the work was to replace their existing templates with new accessible versions, while moving from the client version of Word and PowerPoint to the online version in Microsoft 365. To succeed, the municipality needed a solution that both ensured accessibility and simplified work throughout the organization.
The work started with a comprehensive mapping of all existing templates. We needed to understand how the templates were used, identify new needs, and at the same time ensure that each template was adapted to current accessibility requirements. The challenge lay in both the volume of templates and the transition to a completely new way of working online.
The solution was to use our 365|TemplateExtender tool to distribute updated and accessible templates. We created customized Word and PowerPoint templates based on the municipality's graphic profile and requirements, and made them directly available in the online version. Thanks to the cloud solution, all employees had easy access to the templates via computer, tablet or mobile.
Today, Sandviken Municipality has ownership of its template library through an administration portal in 365|TemplateExtender. The templates are automatically updated for all users and can easily be expanded with smart features, such as icon and image libraries. The result is a long-term, flexible and accessible template solution that strengthens the municipality's internal and external communication.
