Previously, many SunPine employees chose to create their own documents, instead of using SunPine templates. They did not have control over the design of the documents, for example, they did not always follow their graphic profile. When SunPine, together with the agency Oh My, updated their graphic profile, the customer also wanted to create new templates. We helped the client create templates that are so accessible and user-friendly that the organization's users will prefer to use the templates, instead of creating their own documents. ‍We did this by producing user-friendly, quality-controlled templates that the user can access via template buttons directly from the Office program they work in.

"We don't really have a template that is used today. Everyone seems to build their own."

The customer SunPine experienced that many within the organization chose to create their own documents, instead of using SunPine's templates. SunPine did not have control over the design of the documents created. For example, documents were produced that did not follow their graphic profile. When SunPine, together with the agency Oh My, updated their graphic profile, the customer also wanted to create new templates for the organization. The hope was that these templates would be so accessible and user-friendly that the organization's approximately 80 users would prefer to use the templates, instead of creating their own documents.

With a tight deadline, it was time to ensure that the client's templates were so user-friendly and accessible that users would prefer using the templates to creating their own documents.

One way to ensure the use of the new templates was to thoroughly check all features, such as special fonts and language settings. The templates were created to work in all scenarios that the user might encounter.

Another way to simplify for the user was to facilitate the use between templates. By standardizing as many components as possible (such as footers, color choices, and logo placement), it becomes easy for users to share content between templates.

The customer's content would be collected on our online service 365|TemplateExtender. This way, users would be able to access all templates and other content via template buttons in the respective Office programs.

The solution was 20 user-friendly, quality-controlled templates. SunPine's 80 or so template users can easily access the templates via template buttons directly in the Office program they are working in. They can also access content that they may want to use in the templates. For example, they have access to SunPine's icon library and image bank. Directly via PowerPoint, they can also access designed pages that they can easily drag into their presentation.
