Streamline your Word files

January 22, 2024

Work lightly in the new working year! Your Word files will completely lose weight when you start compressing images. With just five button clicks (yes - we counted), you can compress all the images in a Word file, and save tons of bloated KB.

Lose weight while sitting on the couch!

No, it's not a bad slimming advertisement from the 90s. It's us encouraging you to reduce the size of images in your Word documents.

When you compress images in large and heavy Word files, they take up less space, are faster to edit and easier to share with others. It can be difficult to reduce the size of large documents. But compressing images is a very effective way to lose many pounds (bytes) quickly.

But remember, once you have compressed the images, there is no going back. If you have compressed the images so much that they have become blurred, and you want the higher resolution back, you will have to re-insert the image. Save a copy of your document before giving it a virtual weight loss, so you can go back to the original if you change your mind.

  1. Select the image you want to compress by clicking on it.
  2. When you select an image, Picture format appears on the far right of the menu. Click on this option.
  3. You will see the Picture format menu at the top of the page. In the section called Adjust (at the top right) is the Compress Pictures button. Click on it.
  4. In the box that appears, you will see different options for the resolution of the image. We recommend a resolution of 150 ppi for most documents. This resolution maintains a high quality of the images and keeps the file size relatively low.
  5. By default, the option Apply only to this picture is selected. If you uncheck the option, all images in the document will be compressed. If you leave the option checked, the changes will only be applied to the picture you selected. You can also choose to Delete cropped areas of pictures if you are happy with how you have cropped all your images. This will also reduce the size of the file.
  6. When you are done with the settings, which will reduce the file size of your presentation, click Ok.
