Prerequisites

On this day, April 24, 2025, the following conditions have been established.

Platforms and versions

The templates are developed for Office 365, Swedish/English version, unless otherwise stated. The templates can be upgraded or converted to other versions or developed to handle multiple versions. The proposal is based on existing templates and other material received by Rehngruppen from the client.

To distribute the Office 365|TemplateExtender, a manifest is used. This manifest is stored in Microsoft Exchange Online (Centralized Deployment). All users of the extension need to be connected to a version of Microsoft Exchange Online that supports OAuth authentication.

It is not possible to deploy 365|TemplateExtender in an environment where Centralized Deployment is not available.

The following platforms can be used
- Windows, from version 1704 of Microsoft 365 Business (Business Basic, Business Standard, Business Premium), Office 365 Enterprise (E1/E3/E5/F3) or Microsoft 365 Enterprise (E3/E5/F3).

Mac, from version 15.34.

Centralized Deployment does NOT work with
- An on-premises directory service
- Exchange On-Prem Mailbox
- Versions of Microsoft 365 where Exchange Online is not available, such as Microsoft 365 Apps for Business and Microsoft 365 Apps for Enterprise.

Substrate

The client provides Rehngruppen with clear documentation with dimensions for margins, appearance of header/footer, placement and size of logos, font and font size, RGB values for colors. Dimensions and placements can also be taken directly from your InDesign file.

Logo and graphic elements

If the client delivers the logo and any graphic elements ready for MS Office, it is included in the assignment that we quality assure these both in terms of "weight" and printing/PDF.

We can also download and convert the images to be used from an InDesign file if it is pre-cropped and has the correct format otherwise. For image processing, any adjustments and testing in addition to the above are charged continuously per hour.

File sizes

For best performance, we recommend a maximum size of 5mb for images and 12mb per uploaded file for presentations to be included in the presentation library. The recommendation is, among other things, for the presentations to not be so heavy to handle and easier to email.

Fonts other than MS Windows Standard

This cost estimate is based on standard iWindows/Office 365 fonts. Templates with other fonts (for the desktop apps) can be estimated if needed.

Image processing and color conversion

Any image processing of illustrations and photos as well as color conversion is not included in the estimate.

For image processing (conversion to different file formats, adjustment of resolutions, conversion of color modes, etc.

Testing and quality assurance

The cost estimate does not apply to changes in previously approved elements. Changes after we have started working on your specification, additional new functions or new templates will be charged at a current hourly rate or quoted if necessary.

Corrections must be received by Rehngruppen within three weeks of delivery. Otherwise, the work is considered approved and any changes are then considered as additional orders.

Copyright and related rights

Rehngruppens owns the copyright to the source code of the general tools and functions included in the solution (for example, the image tool QuickPictureLibrary, and the presentation library tool QuickSlideBuilder). This means that the client does not have access to the code of these solutions. For those parts of the solution that are developed or customized for the client, including custom forms with VBA code, the client has access to the code and can modify or further develop the solution on its own.

Confidentiality

Rehngruppen undertakes not to disclose to third parties, without the written consent of the client, any documents or otherwise reproduce information relating to the client's internal affairs. Rehngruppen's staff shall ensure that confidentiality is observed through a confidentiality agreement or other appropriate measures.

Rights and entitlements

After full payment of the work performed, the client owns all rights to the graphic production of templates, documents and presentations. However, Rehngruppen reserves the right to display the material (excluding any information that may be sensitive) for marketing purposes.

Prices and payment terms

Hourly rates and travel expenses

Rehngruppen has an hourly rate of SEK 1 300. If we travel within Stockholm and the assignment is three hours, no extra cost will be added. If the assignment is less than three hours, SEK 500 will be added. For travel outside Stockholm, actual costs for board and lodging and 50% of the hourly fee for travel time are charged.

License costs and notice period

The license period runs 3 months at a time after approval. Unless either party gives notice of termination at least three months before the beginning of each new period, the period is automatically extended by three months each time.

Additional allowance for overtime

For assignments that must be carried out outside regular working hours (07:00-18:00), an additional fee of 50 percent of the regular fee will be charged and for work on Saturday, Sunday or public holidays, an additional fee of 100 percent of the regular fee will be charged.

Cancellation policy

Cancellations can be made free of charge up to 10 working days before the start date. For cancellations 9 working days or later, half the teacher's fee will be charged. Cancellations 5 working days or later will be charged full tuition fees.

Terms of payment

All prices are quoted exclusive of VAT.

Invoicing of fixed monthly costs for management, functionality for MS Office 365 (online) is invoiced quarterly in advance.

First invoicing, of the total amount of the order, takes place when the graphic production is completed and delivered to you ("loose templates"). Final invoicing takes place when you have approved the delivery, but no later than two weeks after final delivery.

Payment terms 30 days net. After the due date, if required, interest on arrears will be paid in accordance with the applicable interest law, currently discount rate +8 percent.
